Information we collect
We may collect names, contact details, facility information, volunteer interests, program requests, member account information, and messages you submit. Facility staff may also provide limited resident-related information such as initials or room number, dietary restrictions, mobility needs, behavioral cautions, participation limits, and photo permission when needed to provide a safe activity.
How we use information
- Schedule and safely deliver nonprofit programs and facility visits.
- Respond to questions, partnership requests, and volunteer applications.
- Manage member accounts and password-help requests.
- Process donations through our payment provider.
- Improve the website and understand general site usage.
Sensitive facility information
Resident-related information should be submitted only by authorized facility staff and only when necessary for program safety. Please use initials or a room number instead of a full resident name whenever possible. This information is available only to authorized Checkmate Community personnel who need it to coordinate the requested activity.
Cookies and analytics
The site uses essential cookies for member and administrator sessions. We also use Google Analytics to understand general website traffic. Analytics may collect device, browser, approximate location, and page-visit information according to Google’s privacy practices.
Donations and outside services
Donation payments are processed by Stripe. Checkmate Community does not receive or store your full payment-card number. Links to outside websites are governed by those providers’ own privacy policies.
Storage, security, and retention
We use administrative access controls, encrypted website connections, rate limits, and server protections to reduce unauthorized access. No online system can guarantee absolute security. We retain information only as long as reasonably needed for operations, safety, recordkeeping, or legal obligations.
Your choices
You may request access to, correction of, or deletion of personal information you submitted, subject to legitimate recordkeeping requirements. You may also ask us to stop using your information for nonessential communications.
Children’s privacy
The public website is intended for adults, facility staff, volunteers, donors, and community partners. Children should not create accounts or submit personal information without a parent or legal guardian.
